POSITION DETAILS Brooklyn College is accepting applications for the position of Administrative Coordinator. The role of the Administrative Coordinator will be to assist the Director with ensuring the efficient and effective office operations of the Magner Career Center. In addition to the CUNY Title Overview, the primary responsibilities will include event coordination, and assisting with fiscal management. Responsibilities include the following duties: * Coordinate front desk operations. Recommend procedural improvements to the Director, and implement under supervision. * Serve as main point of contact for internal and external constituents including fiscal offices, purchasing, vendors, Information Technology Services (ITS), Human Resources, Central Stores and Printworks. * Supervise and train part-time staff and student workers. * Assists in logistical and program planning for special events hosted by the Magner Center. * Participate in student orientations and presentations * Maintain department fiscal plans and budgets. Assist in budget administration and invoice processing. * Prepare department surveys, and monthly and year-end reports. QUALIFICATIONS Bachelor's Degree required. Other qualifications: * Prior administrative work experience preferred and/or experience in higher education is preferred. * Ability to take initiative and work with minimal supervision. * Strong interpersonal skills to help create a student centered and positive working environment. Ability to collaborate, and cooperate with students, faculty, and staff. * Effective written and verbal communication skills * Strong attention to detail, ability to multitask and organizational skills * Computer proficiency; advanced skills in Excel and Word are preferred CUNY TITLE OVERVIEW Supports projects, initiatives, and activities that impact an academic or administrative department. * Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information. * Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software. * Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections. * Conducts internet and/or database research and performs basic systems queries to locate information related to department activities. * Maintains department fiscal plans and budgets; assists in budget administration and invoice processing. * Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department. * May supervise office staff and student workers. * Performs related duties as assigned.
